Keraderm Medspa Policies

At Keraderm Medspa, we are committed to providing exceptional care in a professional, respectful, and welcoming environment. The following policies help us maintain the highest standard of service for all clients.

Appointment, Cancellation & No-Show Policy

We require at least 48 hours’ notice for any appointment cancellation or rescheduling.
Appointments cancelled within 48 hours, missed without notice, or considered a no-show will incur a $75 cancellation fee, which will be charged automatically to the credit card on file.

Our providers are often booked weeks to months in advance, and we maintain an active waiting list. Late cancellations and missed appointments prevent us from offering those time slots to other patients in need of care.

Late Arrival Policy

Punctuality ensures that each client receives the full quality of care and attention they deserve.
Clients arriving more than 15 minutes late may be required to reschedule if the treatment cannot be completed within the remaining time of the appointment. In such cases, the appointment will be treated as a late cancellation, and the $75 fee will apply.

Repeated Cancellations / No-Shows

Clients who late cancel or no-show three (3) times will be required to prepay in full for all future appointments at the time of booking.

Prepaid services are non-refundable if the cancellation/no-show policy is violated. However, if an appointment is rescheduled with more than 48 hours’ notice, the prepaid amount will be credited toward future services.
Keraderm Medspa reserves the right to refuse future appointments to clients who repeatedly disregard scheduling policies.

By booking an appointment with Keraderm Medspa, you acknowledge and agree to these policies.

Refund Policy (Services)

Refunds are not offered for services rendered.

Aesthetic outcomes vary from person to person. While we strive to achieve the ideal outcomes, results cannot be guaranteed. Patients are responsible for any additional treatments required to reach their individual goals.

Retail Policy (Products & Gift Certificates)

Retail Products:
All product sales are final. Defective products may be exchanged within 14 days of purchase for the same product only, provided proof of purchase is provided.

Gift Certificates:
All gift certificate purchases are final, non-refundable, and cannot be exchanged for cash.

Children Policy

We adore babies and children; however, for safety reasons and to maintain a calm, relaxing, and professional environment, we kindly ask that childcare arrangements be made prior to your appointment.

This allows us to provide a tranquil experience for you and all members of the Keraderm community.

Pet Policy

For the health, safety, and comfort of all patients and staff, pets are not permitted inside the clinic.

Only certified service animals are allowed within our healthcare facility. Clients bringing a service animal may be asked to provide valid documentation confirming its status.

If you arrive with a non-service animal, you will be asked to remove the animal prior to your appointment.

Payment & Financing Policy

We accept the following forms of payment:

  • Visa
  • MasterCard
  • Major credit cards
  • Interac debit
  • Cash (Canadian currency only)
  • E-transfer

We also accept financing options for qualified patients, including:

  • Beautifi (third-party medical financing provider)
  • Affirm (installment payments available only through RepeatMD financing applications)

All financing approvals are subject to the policies and decision processes of the third-party providers. Keraderm Medspa is not responsible for approval decisions, interest rates, repayment terms, or financing conditions.

Full payment is required at the time of service unless approved financing has been arranged in advance.

Insurance Policy

Insurance coverage varies by individual plan and provider.

If insurance forms are required, a $50 fee per form applies for completion and processing. Completion of insurance documentation does not guarantee approval or reimbursement.

For medically indicated treatments (such as therapeutic Botox), our team will assist with the required documentation when applicable.

For services including lymphatic drainage, sclerotherapy, and other non-medical or aesthetic treatments, an official receipt will be provided for insurance submission. Patients are responsible for submitting claims directly to their insurance provider.

Keraderm Medspa is not responsible for insurance reimbursement decisions or payment outcomes. No guarantees are made regarding coverage.
